Volunteering for Schooling Show #1 @ Winterwood June 8

Registration

  • Someone to reach out to show sponsors. We already have several show sponsors from the last several years. We just need help reaching out to them for their continued support. We have a show sponsor flyer already made to use.
  • Duties:
    ○ Check off the rider’s name on your Order-of-Go as he/she warms up around the ring.
    ○ Verify that you have the correct test for the rider.
    ○ Provide a spare copy of the test to the judge, if requested.
    ○ Record the judge’s comments and score for each test movement.
    ○ Hand the test to the judge to write the collective scores/comments, and sign the test.
    ○ Fold each completed test in half.
    ○ Hand over the completed tests to the runner in between rides.
  • Duties:
    ● Inform riders of where they are in the Order-of-Go.
    ● Check off each rider on your list as they enter the ring
    ● If you are unable to locate a rider, ask the Secretary if the rider scratched.
    ● If you can do a full day or 1/2 day still sign up even if you go to the waitlist. We will reach out!
  • Duties:
    ● After about 2 riders have completed their tests, approach the scribe in between rides and ask for the score sheets.
    ● The judge or scribe may ask for coffee, snacks, pencils, etc. Check with the office/Secretary tent to obtain these items.
    ● Walk up to where the scorer(s) is located and hand the scoresheets to the scorer.
    ● Stay at least 20 feet away from dressage arenas. Be considerate of horses in or around the arenas.
    ● Return to your dressage ring(s) and wait for the next batch of score sheets.
    ● If you can do a full day or 1/2 day still sign up even if you go to the waitlist. We will reach out!
  • Duties:
    ● Enlarge the small sized arena to a large size.
    ● At least 2 people needed to make it quicker.
    ● This only takes about 15 minutes and occurs only once during the show. This will occur starting with any dressage tests at first level, so check with the Ring Steward who will have a class schedule.
    ● Provide your cell phone & be close by the dressage arena when it is close on the schedule to enlarge the arena.
  • Duties:
    ○ Check off the rider’s name on the Order-of-Go as he/she enters the arena.
    ○ Enter the rider number and horse description on the score sheet.
    ○ Record the scores from the judge.
    ○ Record time called in from timer.
    ○ Figure out and record the total number of penalties.
    ○ Give the jumping, time, and total number of penalties to the announcer and scorer (usually over the radio)
    ● At the end of each level:
    ○ Hand the completed score sheet to the judge for signature.
    ○ Turn in completed score sheets to the runner.
    ○ Jumping usually only lasts 2-3 hours.
  • Duties:
    ○ Start the watch as the rider crosses the start line. Decide exactly which part of the horse should cross the line when the time starts or stops (shoulder, nose, etc.).
    ○ Stop the watch if the judge signals a time stop for the rider, and then restart the watch when the judge blows the whistle to resume the round.
    ○ Stop your watch as the rider crosses the finish line.
    ○ Reset the watch after the elapsed time has been reported.
  • Duties:
    ● Check in riders as they come up from the warm-up arena.
    ● Direct riders to be on the “in gate” side of the arena. This makes it easier for you to find them and allows a much smoother operation for
    riders to enter the arena.
    ● Inform the next few riders of their positions in the Order-of-Go (1 away, 2 away, etc).
    ● Send the next rider into the arena as soon as the previous rider has completed the round.
    ● Riders should go in order unless:
    ○ The rider has a schedule conflict because of multiple rides.
    ○ You are ahead of schedule and next rider on the order-of-go is not ready.
    ● Check off each rider on your list as he/she enters the ring
  • Duties:
    ● Check in riders as they enter the warm-up arena.
    ● Maintain capacity control in the arena:
    ○ Maximum of 3-5 riders at any one time; use your judgment to adjust this number depending on the traffic in the warm-up arena.
    ○ Follow order-of-go when deciding which riders can enter the arena.
    ● Send riders to the show jumping arena. Riders must go in order unless a rider has a schedule conflict because of multiple rides.
  • Duties:
    ● Order box lunches for the judge & scribe if they are far from the secretary booth.
    ● Order a platter for the volunteers.
    ● Supplies needed: napkins, plates.
    ● We use Hannaford or Price Chopper for boxed lunches and platters.
    ● Pick up lunches from store and set up.
    ● Can be one person who orders and another person who picks up/sets up.
    **Bring ENYDCTA tax free form for any purchases to eliminate paying tax** The store delis do not except tips.
  • Set up banners, ENYDCTA sign, secretary table, table for lunches for volunteers, ribbons, judges booth, judges chair, pop-ups if needed, lunch supplies, water, etc. Takes about 30-60 minutes.
  • Set up dressage arena/letters, and judges booth with table & chairs (unless truck is being used)
  • Set up the jump course in the days before the show
  • Design jump course, draw course on large paper to hang at jump ring and secretary booth, and post course online before the show
  • ● This can be a partial or whole day role
    ● Monitor traffic in and out of parking field
    ● Direct people to the location they should park
  • Oversees general registration procedures and distribution of needed documentation to scribes, and ring stewards. There can be 2 people to split the day. Anyone interested in helping a day secretary in order to learn is welcome and still sign up so that you are on the waitlist and we will reach out.
  • Scores the dressage tests. We can train you if you would like to learn. It is easy!
  • Fill in the scores on the final score sheet. Get the dressage score % from the scorer to post and place the class and also post penalty points for combined training classes and place the combined training classes. This can be shared by 2 people that split the day.

  • Crew to pack up/clean up. Roll up banners, pack up tables, chairs, lunch supplies, & office supplies and pack in truck. See inventory list. Estimated time 30 minutes for 2-3 people.
  • Puts together the dressage class schedule for the day. This is started several weeks before the show & up to the show.
  • Puts together the jump class schedule for the day. This is started several weeks before the show & up to the show.
  • Pick up and pack up supplies.
  • We need someone to transport supplies to WW and someone to transport supplies to the next show site location or to Delanson for storage.
  • Do not pick this ticket type unless instructed to do so.
